Clinic Manager

Full-Time  |  Oakville, ON  |  Competitive Compensation + Performance Pay

About The Mind People

The Mind People is a growing private mental health clinic in Oakville, Ontario, built on a simple belief: people deserve access to real, high-quality psychotherapy — not a waitlist, not a voicemail, not a watered-down experience.

Our team of registered clinicians delivers evidence-based care to individuals, couples, and families in a warm, professional environment. We take our work seriously, we take care of our clients, and we hold ourselves to a high standard — and we're looking for someone who does the same.

The Opportunity

We're hiring a Clinic Manager — a sharp, driven operator who can run the day-to-day of a busy mental health clinic, grow our referral network, lead a team of clinicians and admin staff, and do it all without needing to be managed themselves.

This is not an entry-level role. It's not a job for someone who waits to be told what to do. If you're energized by building systems, solving problems before they become fires, and leading people who actually respect you — keep reading.

What You'll Own

Referral Development & Community Relations

• Build and grow relationships with physicians, EAPs, schools, and community partners — you're the face of The Mind People in the community

• Stay consistent: minimum one meaningful touchpoint per month with every active referral source

• Track where every new client comes from so we know what's working

Intake & Growth

• Own the intake pipeline — from a client's first inquiry to their first appointment with a therapist, in under 7 days

• Drive new client volume growth quarter over quarter

• Keep clinician caseloads healthy — 80%+ for established therapists, new therapists ramped to 80% within 2 months

Team Leadership

• Manage and motivate a mixed team of contracted clinicians and employed admin staff

• Hold people accountable — with clarity, not micromanagement

• Run timely, meaningful performance reviews and stay ahead of issues before they become problems

• Keep the schedule tight and the admin clean

Operations

• Implement and enforce clinic policies — and make them stick

• Keep billing on time and accurate, every time

• Every client or referral source issue gets a same-day response. No exceptions.

You Might Be the Right Fit If...

• You have 3+ years managing a clinic, healthcare practice, or professional services environment

• You know how to lead contractors and employees — and understand the difference

• You're a natural relationship-builder who's comfortable walking into a doctor's office and starting a conversation

• You make decisions, own them, and course-correct when needed — without waiting for permission

• You run a tight operation: scheduling, billing, and admin don't slip through the cracks on your watch

• You actually care about mental health — and that shows in how you treat clients, clinicians, and colleagues

This Role Is Probably Not for You If...

• You need daily check-ins to stay on track

• You'd rather escalate a problem than solve it

• You see community outreach as someone else's job

• You're looking for a quiet, predictable 9-to-5

Compensation

We offer a competitive base salary with a structured increase after a successful six-month review, plus quarterly performance pay tied directly to clinic outcomes. We reward people who deliver.

Full compensation details are shared with candidates who move to the interview stage.

How We Measure Success

This role comes with a performance pay component. These aren't arbitrary numbers — they're the measures that tell us the clinic is growing, the team is thriving, and our clients are being taken care of:

Key Areas:

  • Referral Development

New referral relationships, consistent source engagement, intake attribution

  • Intake & Revenue Growth

Intake volume growth, time-to-appointment, clinician caseload utilization

  • Team Performance & Retention

Staff retention, review completion, scheduling accuracy

  • Operational Execution

Policy compliance, billing timeliness, issue response time

  • Leadership

Independence, judgment, and culture — assessed quarterly by the Clinic Director
